Picking up and Returning a Vehicle

Picking Up a Vehicle


After you have submitted an Online Reservation, you will receive a Confirmation Email with the reservation number and date/time of your scheduled pick up. The evening prior to your pick up date, the Motor Pool staff will also send you a Reminder Email simply for your information or if you happened to misplace your confirmation.

When you arrive at the Motor Pool, please be sure to keep your Driver’s License with you as the staff will check it during the dispatch process. At the time your vehicle is dispatched, you will receive a rental booklet with a dispatch sheet that will be used to fill out your return date & time information.

If you have not previously rented a vehicle through the Motor Pool, you will need to fill out a Driver’s Authorization form. Any driver wanting to rent an 8-passenger, 12-passenger or large cargo van will need to visit the Van Safety link for more information on the Van Safety video and test. Returning a Vehicle


Vehicles may be returned 24 hours a day to the OSU Motor Pool lot on the east side of the building. If the lot is full, please park as close as possible (the nearest lot is the Crop & Soil Sciences parking lot). All vehicles are equipped with an E-Plate that acts as a parking permit and will thus not receive a ticket unless parked in a Service Only or Handicap location.

When returning a vehicle, please take the following steps:

  • On the dispatch sheet (located in the rental booklet), record the:
    • Odometer Reading, and
    • Date & Time of Return
  • If you noticed any issues with the vehicle, record that on the sheet as well
  • If you were involved in an accident, indicate that information on the sheet
  • Leave the rental booklet in the vehicle and lock all of the doors
  • Drop the keys into the Key Drop, located on the east side of the building

By completing all of these steps, your return can be processed more efficiently and the Motor Pool staff will be better able to serve all of our customers.
